Privacy Policy
This policy explains what we collect when you buy a ticket, why we need it, who else sees it and what you can ask us to do with it.
Who is responsible for your information
The organisation responsible for the personal information described here is:
Rotary Club of New Tecumseth
PO Box 129, Alliston, ON L9R 1A0
support@newtecatchtheace.ca
The volunteer acting as Privacy Officer for the raffle is accountable for the information described here, as PIPEDA requires. Write to Privacy Officer, Rotary Club of New Tecumseth at the address above, or email support@newtecatchtheace.ca, if you have a question about this policy, want to see the information we hold about you, or wish to make a complaint. The name of the current Privacy Officer is provided on request.
What we collect
We collect only what we need to sell you a ticket, run the draw lawfully and pay a prize.
- Identity and contact details — your name, email address, postal address and, if you give it, your telephone number. #
- Date of birth — to confirm you are 18 or older, which the licence requires. #
- Location information — your address and your IP address, used to confirm you are in Ontario when you buy. #
- Purchase records — which tickets and envelopes you bought, when, and for which draw. #
- Consent records — the date, time and version of the documents you agreed to at checkout. #
- Website usage — pages viewed and similar technical information, collected only where you have allowed analytics cookies. #
Payment details — what we never see
Your card details are entered on the payment provider’s own secure form. They travel directly to the provider and are never received, processed or stored on this website. We are told only whether a payment succeeded, the amount, and a reference number, along with the last four digits of the card so we can match a payment to an order.
This is not a courtesy — it is how the PCI DSS requirements are met, and it means a breach of this website could not expose your card number.
Why we use it
- To sell you a ticket, issue it, and send you a receipt. #
- To confirm that you are eligible: aged 18 or over and located in Ontario. #
- To conduct the draw, identify the winner and pay the prize. #
- To keep the records of ticket sales and prizes that the AGCO requires the licensee to maintain. #
- To answer you when you contact us. #
- To send you draw reminders and results — only if you have separately asked for them. #
Consent, and how to withdraw it
We ask for your agreement before collecting your information, and we record when you gave it. Where the information is needed to sell you a ticket and run the draw, we cannot complete the purchase without it.
You may withdraw your consent at any time by writing to us, subject to legal and licence obligations that require us to keep records of completed raffles. Withdrawing consent does not undo a purchase already made or a draw already held.
Who else sees your information
We do not sell your personal information, and we do not share it for anyone else’s marketing.
- Payment provider — to take payment and confirm it. #
- Website host — which stores the site and its records on our behalf. #
- Email service — to send receipts, draw reminders and results. #
- Analytics provider — only where you have allowed analytics cookies. #
- The AGCO and auditors — where the licence or the law requires us to report on the conduct of the raffle. #
- Where a service provider stores information outside Canada, that information may be accessible to the courts and authorities of the country concerned. We use providers with Canadian data storage wherever we reasonably can. #
How long we keep it
Records of ticket sales, draws and prizes are kept for the period the AGCO requires the licensee to retain raffle records under the terms of licence RAF1543899 — currently seven years from the end of the licence period — and in any case until the annual audit of the licence is complete.
Marketing contact details are kept until you unsubscribe. Messages sent through the contact form are kept for two years. Once a retention period ends, records are securely destroyed.
How we protect it
- The whole site is served over an encrypted connection (HTTPS). #
- Access to purchase and winner records is limited to the volunteers who need it to run the raffle. #
- Records held on our behalf by service providers are covered by written commitments to protect them. #
- If a breach occurs that creates a real risk of significant harm, we notify affected people and the Office of the Privacy Commissioner of Canada as soon as feasible, and in any event within thirty days of establishing that the breach occurred, as PIPEDA requires. #
Your rights
- You may ask what personal information we hold about you and receive a copy of it. #
- You may ask us to correct information that is wrong or incomplete. #
- You may ask us to delete information we no longer need to keep. #
- You may complain to us first, at the address above. If you are not satisfied with our answer, you may complain to the Office of the Privacy Commissioner of Canada. #
- We respond to requests within thirty days. #
Cookies
This site uses cookies to keep it working, to remember your cart and, with your permission, to measure how the site is used. Analytics and marketing cookies are not loaded unless you allow them. The full list, with what each cookie does and how long it lasts, is in our Cookie Policy. You can change your choice at any time using the Cookie settings link in the footer.
What we publish about winners
When a prize is won we publish the winner’s first name, last initial and town, together with the ticket number, envelope number and prize amount. This is how everyone who bought a ticket can confirm the draw was run properly.
We do not publish a winner’s street address, telephone number or email address. A photograph is published only with the winner’s separate agreement.
Young people
This site is intended for adults aged 18 and over. We do not knowingly collect personal information from anyone under that age. If you believe a young person has given us their information, write to us and we will delete it.
Email and CASL
- We send marketing email — draw reminders and results — only to people who have expressly asked for it. #
- Every such message carries a working unsubscribe link and our postal address, as Canada’s anti-spam legislation requires. #
- Unsubscribe requests are actioned promptly and in any event within ten business days. #
- Receipts and messages about a purchase you have made are not marketing, and are sent whether or not you have opted in. #
Changes to this policy
If we change this policy, the new version and its effective date appear at the top of this page. Where a change materially affects how we use information we already hold, we tell affected people directly before it takes effect.
